The timeline was never stress-tested
Almost every self-built timeline we audit is missing fifteen to thirty minutes somewhere — usually between photos and the meal. It only shows up on the day, when it is your problem.
Nobody confirmed the vendors
Vendors get dates wrong, send different staff than you met, and turn up at the wrong door. We call every one of them twice, and we meet them on arrival.
The host becomes the operations manager
Without a coordinator, the questions go to whoever booked it — which is you, in the outfit, on the day you were meant to enjoy.

What's the difference between day-of and month-of?
Day-of means we take over about two weeks out. Month-of starts at six weeks and includes a full audit of everything you have planned so far — which is where we usually find the problems. Most people book month-of, and most people who book day-of tell us afterwards they wish they had booked month-of.
We already have a planner. Do we need you too?
Usually not — a full-service planner runs the day themselves. Where we do work alongside designers and stylists is when they are handling the look but nobody is handling the logistics. If you tell us who else is involved, we will tell you honestly whether we would be duplicating them.
How late can we book you?
We have taken events on with nine days' notice. It is not ideal — the audit is where most of the value is — but it is far better than running the day yourself. Send us the date and we will tell you straight away whether we can do it justice.
How early do you arrive?
Three hours before you do, and before the first vendor. We want the room walked and the deliveries met before anyone in your party arrives.
Do you stay until the end?
Always. Our packages include strike, so we are the last ones out — the room cleared, the vendors released and the venue signed off. Nobody in your family should be carrying boxes at midnight.
What if a vendor doesn't show up?
It happens perhaps twice a year. Because we confirm everyone twice and keep a list of who can cover at short notice in Denver, the usual outcome is that a replacement is en route before the host would even have noticed. It is exactly the situation you hire a coordinator for.
What does coordination cost?
It depends on guest count, the number of vendors and whether it is a single site or multiple. Because our packages include two coordinators and a setup-and-strike crew, we are rarely the cheapest quote you will get — and we will happily explain what is in ours that is missing from a cheaper one.
Do you charge for the first call?
No. The handover call, the availability check and an honest opinion on which package you need are all free. If we think you do not need us, we will say so on that call.
