Twenty Years of Getting People There and Back

Longitude has run destination programmes out of San Diego since 2006. Four hundred and ten of them, across thirty-eight countries, for groups from twelve to eight hundred.

What we have learned is that the destination matters much less than people think and the routing matters much more. A resort that photographs beautifully but requires two connections and a four-hour transfer will cost you attendance and goodwill before anyone arrives. We shortlist against the flights your delegates would actually take, not against the brochure.

Every destination programme is fine until it isn't. A delegate is taken ill in a country where nobody speaks their language. A flight cancellation strands forty people overnight. A passport goes missing the day before departure.

So we staff a desk for the full duration of every programme, with a named person on it, local medical and evacuation relationships already in place, and traveller tracking so we know where everyone is before we have to ask.

It is the least visible part of what we do and the reason clients keep us for years. Ask any competing proposal how their desk works and who specifically answers it — the answers are revealing.

What Global Events Teams Ask

How far ahead should we start?

Twelve to eighteen months for an incentive programme or a destination conference. Air inventory and the properties worth having both move that far out, and the contract negotiation — where most of the savings are — needs to happen before you announce the destination internally.

We have our hearts set on a destination.

Tell us and we'll pressure-test it honestly against your delegates' actual flight routings. Sometimes it holds up. When it doesn't, we'll show you the connections and transfer times a third of your group would face, and propose alternatives. We've talked clients out of a destination and seen attendance rise nineteen percent.

We have an in-house travel team. Where do you fit?

About half our clients do. The usual split is that they own policy, booking tools and traveller data; we own programme design, destination contracting and on-ground delivery. We're comfortable being scoped to whichever half is actually stretching your team.

How does your duty-of-care desk actually work?

A named person, staffed for the full duration of the programme, reachable directly rather than through an answering service. Local medical and evacuation cover arranged before departure, traveller tracking so nobody is unaccounted for, and a documented incident chain. We'd encourage you to ask any competing proposal the same question.

What happens if flights are disrupted?

We know who's affected before your delegates do, because we hold the manifest and the tracking. Rebooking, hotel and ground transfers are handled from our side, and your delegates get one number to call rather than an airline queue.

How do you charge?

A management fee agreed up front, never a commission on air or hotel spend — that model would put our interests against yours at exactly the moment you need us objective. The fee is on the first page of the proposal.

Will you actually save us money?

Frequently more than the fee, and mostly in the contract rather than in the programme. Room-block attrition and F&B minimums are where destination budgets quietly break, and they're negotiable before you've announced anything.
