Why Organizations Rely on Us

Three Reasons Planners Rebook

What thirteen years of event coverage has taught us to get right.

1

Invisible, and Everywhere

We read a room and work it without ever getting in the way — multiple shooters when the schedule demands it, so nothing is missed.

2

Same-Day Highlights

Your comms team gets a curated set the same day, captioned and sized for social and press, while the event is still live.

3

A Vendor You Don't Worry About

Clear contracts, on time, professional on-site, files exactly when promised. We make the agency or planner who hired us look good.

Event Photography That Earns Its Place on the Run-of-Show

An event happens once. The keynote lands, the award is handed over, the room lights up during the reception — and then it's gone, and all your organization has to show for a year of planning and a serious budget is whatever was captured in the moment. Rotunda & Rowe exists to make sure that record is worthy of the event. For thirteen years we've covered Washington's conferences, galas, summits, and receptions for associations, agencies, foundations, and brands, and we've learned that great event photography is equal parts craft and choreography. The craft is obvious in the files — clean, well-lit, sharp stage and speaker shots, warm candids, the wide room-in-full frames that sell next year's tickets. The choreography is what sets us apart: we read a run-of-show like a second producer, position shooters so no moment is missed, work seamlessly with your AV and stage crews, and stay invisible while being everywhere. And because a highlight set is worth ten times more the day of than a month later, we edit and deliver a curated selection the same day, captioned and sized for press and social. Planners rebook us because we're the rare vendor they never have to manage — clear, reliable, professional, and genuinely excellent. When the event only happens once, that's exactly who you want holding the camera.

For Planners & Agencies

The Coverage That Makes You Look Good

If you plan or produce events, you already know the truth: your vendors are a reflection of you. A late, disorganized, or intrusive photographer doesn't just produce weak photos — it makes the whole event feel less buttoned-up, and it's your name attached. Rotunda & Rowe is built to be the opposite kind of vendor. We're the one you introduce to your client without a second thought. That means clear scoping and contracts up front, a crew plan matched to your agenda, seamless coordination with your AV and stage teams, and a genuinely professional presence on-site that your attendees and speakers respond to. It means a same-day highlight set that lets your comms team post in real time, and a full gallery delivered exactly when promised, captioned and press-sized so nobody has to reformat a thing. And it means an optional on-site headshot station that turns your photography line-item into an attendee perk. We've spent thirteen years earning the trust of DC's associations, agencies, and foundations, and the reason they rebook is simple: we make the person who hired us look good. Give us your run-of-show and your deliverables, and consider the photography handled.

  • Clear scoping, contracts, and crew plans
  • Seamless with your AV and stage teams

The Vendor They Rebook

We run a 1,200-person annual summit and Rotunda & Rowe is the only team we trust with it now. They're everywhere and invisible at once — keynotes, breakouts, the gala, the hallway conversations — and they delivered a same-day highlight set that our comms team pushed to social before the closing session even ended. Reliable, unobtrusive, and genuinely excellent. They make our event look as important as it is.

Our awards gala is the night of the year and the photos have to be flawless — the stage moments, the winners, the room. Rotunda & Rowe nailed every one, worked seamlessly with our AV and stage crew, and had a photographer at the step-and-repeat and another roaming the floor. The gallery told the whole story of the evening. Our board and sponsors were thrilled. Booked for next year already.

As an agency producing events for enterprise clients, our vendors reflect on us — and Rotunda & Rowe always makes us look good. Clear contracts, on time, professional on-site, and files exactly when promised, sized and captioned for press. The headshot station they ran at our last conference was a huge hit with attendees. They're the rare vendor I never have to worry about.

Good Questions

Event Coverage, Answered

Can you cover a multi-day, multi-room conference?

Yes — multi-day, multi-room programs are our core work. For events with concurrent sessions, a main stage, an expo floor, and evening functions, we build a crew plan that scales to your agenda so nothing important overlaps and gets missed. We review your run-of-show in advance, prioritize your must-have moments, and position shooters accordingly. Whether it's a focused half-day summit or a three-day national conference with 1,200 attendees, we scope the coverage to match and coordinate it like a second production team. Tell us the agenda and the deliverables and we'll propose exactly the right coverage.

How fast do we get the photos?

Same-day for highlights, and a promised timeline for the full gallery. We know a highlight set is worth many times more the day of than weeks later, so we edit on-site or same evening and deliver a curated selection — captioned and sized for social and press — while your event is still live. Your comms team can push content in real time. The complete, fully edited gallery follows on the delivery date we agree to up front, typically within one to two weeks depending on volume. If you have a hard deadline for a recap or press release, tell us and we'll build the schedule around it.

Do you work with our AV, stage, and venue teams?

Always, and it's a big part of why events run smoothly with us. Before doors open we coordinate with your production, AV, and venue teams on lighting, stage access, timing, and any restrictions, so we're positioned for every key moment without ever getting in the way of the show. We're experienced with the technical realities of live events — stage wash, IMAG screens, spotlights, tight timing — and we work quietly around them. Producers consistently tell us we're one of the easiest vendors on their floor, and that seamlessness is exactly what keeps the run-of-show on track.

Can you provide headshots for attendees?

Yes — our on-site headshot station is one of our most popular add-ons. We set up a clean, quick pop-up booth with professional lighting where attendees can grab a polished headshot between sessions. It's a genuine perk that draws a line, adds value to your registration, and gives you a library of consistent attendee or staff headshots afterward. It runs alongside our event coverage without pulling from it, since we staff it separately. Sponsors love putting their name on it, too. If you'd like to include a headshot station, just mention it when you reach out and we'll scope it into your coverage.

What does event coverage cost?

Coverage is quoted per event based on the hours, the number of photographers, the deliverables, and any add-ons like a headshot station or same-day editing on-site. Because events vary so widely — a two-hour reception versus a three-day conference — we build a clear, itemized proposal rather than a fixed price, and there are no surprises on the invoice. Reach out with your dates, agenda, and what you need the photos for (press, recap, social, sponsors) and we'll send a scoped quote quickly. Great event coverage is an investment that pays back all year in marketing, sponsor value, and next year's ticket sales.

Do you travel outside Washington?

Yes. We're based in Washington, DC and cover the whole DMV, but a large share of our work travels — national conferences, multi-city roadshows, and destination galas. For associations and agencies running programs in several cities, we can provide consistent coverage and a single point of contact across the whole series. Travel is scoped simply into your proposal. Wherever your event is, if you want reliable, professional coverage and same-day highlights, we can be there. Tell us the location and dates and we'll take care of the logistics.
