Bookkeeping Virtual Assistant
Your books reconciled every Friday, invoices out the day work finishes, bills paid on time, and a month-end pack on the sixth. No shoebox, no February panic, no hourly meter.

What Gets Kept
Five standing jobs, done on a schedule you can set your week by.
We are bookkeepers, not accountants. We do not file your tax return — we hand your accountant a set of books they do not have to fix first.
Why Not Quarterly
Most small businesses have their books done four times a year. Here is what that costs in practice.
You see the cash position in time to act
A slow month spotted in week two is a conversation. Spotted in April it is a loan.
Receipts are matched while you remember them
Nobody can identify a $340 card payment from eleven weeks ago, including you.
Invoices actually go out
Weekly bookkeeping catches finished work that was never billed. It is the single biggest thing we find in a first month.
Your accountant stops charging you to tidy up
Clean books cost less to file. Several clients have had their year-end fee cut after the first full year with us.
Month-end takes a day, not a fortnight
Because there is one week of work to close, not thirteen.

Eleven Years Of Other People's Books
We started keeping books for three contractors who were all using the same shoebox method and all losing money on jobs they had never invoiced. Eleven years later there are sixty-four businesses on the books, and the method has not changed: do it weekly, write down what we did, and hand the accountant something clean.
We are a small team of US bookkeepers. Every client has one named bookkeeper and one named reviewer, and both of them know what your business actually does.
- ✓Named bookkeeper and named reviewer on every account
- ✓Work stays in the US; nothing is subcontracted offshore
- ✓Your accountant is copied on the month-end pack by default
Flat Monthly, Set By Volume
Priced on transactions and accounts, not on hours. The fee is agreed before we start and reviewed once a year.
Sole Trader — $340/mo
Up to 150 transactions a month, one bank account and one card. Weekly reconciliation, invoicing and the month-end pack.
Growing — $620/mo
Up to 400 transactions, three accounts, bill pay and receivables chasing. The most common plan.
Established — $1,150/mo
Up to 900 transactions, multiple entities or locations, payroll coordination and a monthly call with the reviewer.
Catch-Up — from $600
Twelve or eighteen months behind? Quoted as a one-off project, then moved onto a monthly plan once you are current.
Find Out What Your Books Are Hiding
Thirty minutes. We will tell you what shape they are in, what the monthly fee would be, and whether you need a catch-up first.
Mostly Owner-Run, Mostly Service
Trades & Contractors
Job costing that tells you which work actually made money, and invoices raised the day the job closes.
Professional Practices
Time billed, receivables chased politely, and partner drawings that reconcile without a spreadsheet.
Retail & Online Sellers
Marketplace payouts unpicked into sales, fees and refunds, so your margin is a number rather than a guess.
Restaurants & Food
Daily takings, supplier bills and tip handling reconciled weekly, which is the only frequency that works in food.
What The First Year Changed
For nine years my books were a shoebox and a bad February. Now they are done every Friday and I have not spoken to my accountant in anger since.
The month-end pack on the sixth changed how I run the business. I make pricing decisions on last month's numbers instead of last year's.
They found $14,000 of unbilled work in the first month. I have never had a conversation about whether they are worth it.
Questions Owners Ask
Are you accountants?
No. We are bookkeepers. We keep the books current and hand your accountant a clean set at year end. If you do not have an accountant we will introduce you to two and let you choose.
Do you work in my accounting software?
Yes — whatever you already use. Moving you to different software in month one is a good way to lose a year of history, so we do not suggest it until the books are current.
What if I am badly behind?
Most new clients are. Behind is normal, not embarrassing. We quote the catch-up as a separate one-off so the monthly fee stays honest.
Who can see my bank data?
Your named bookkeeper and your named reviewer. Access is read-only where the software allows it, granted by you, and revocable by you without asking us.
Is there a contract?
A one-page engagement letter and thirty days' notice. The fee is fixed for twelve months so you are never surprised by an invoice.
Will you talk to my accountant directly?
Gladly, and we copy them on the month-end pack by default. Most of them ask to be after the first quarter.
Where The Line Is
File your tax return
That is your accountant's job and their professional risk. We make their job cheaper, not redundant.
Give tax advice
We will flag something that looks odd and tell you to ask. We will not tell you what to claim.
Sign off on numbers we did not keep
If a previous year's books are a mess, we will quote to fix them. We will not certify them as they are.
Bring One Month Of Statements
That is enough for us to tell you what shape the books are in and what the monthly fee would be.
Book A Discovery Call
Tell us roughly how far behind you are — honestly, nobody here is judging — and pick a day.
