How we are different

Support That Leaves Something Behind

Most assistance disappears when the assistant does. Ours is designed not to.

Every task gets written down

The first time we do something, we document it. You keep the document whether or not you keep us.

One assistant, one named backup

You meet both. The backup runs the same checklists, so holidays and sick days are uneventful.

Access you control

Logins live in your password manager. Revoking us takes ten seconds and does not require a conversation.

A weekly report you actually read

One page: what moved, what is blocked, what needs a decision from you. Sent Friday morning.

Hours that overlap yours

Mountain time covers the East Coast morning and the West Coast afternoon — no overnight handoff, no next-day replies.

No minimum term

Month to month from the first day. Nobody has ever needed a contract to keep us honest.

Your first thirty days

From Handover To Hands Off

01

Week One — Map

We sit with your week and list every recurring task, who touches it and what it costs you in time. You approve what moves.

02

Week Two — Document

Each task becomes a checklist with logins, exceptions and a definition of done. You review them before anything goes live.

03

Week Three — Shadow

We do the work, you approve the output. Corrections go straight back into the checklist rather than into someone's memory.

04

Week Four — Run

The lane is ours. You get the Friday report and a fifteen-minute call if you want one.

Thirty minutes

See What Your First Lane Would Be

Bring your calendar and your inbox. We will tell you which lane to hand over first, and what it would cost.

Plans

Hours, Not Headcount

All plans include documentation, the named backup and the weekly report. Hours pool across the month.

Starter — 15 hrs/mo · $690

One lane, three mornings a week. The right size for a founder who needs their calendar and inbox back and nothing else yet.

Core — 30 hrs/mo · $1,320

Two lanes, daily coverage, the Friday report and a standing Monday call. Where most clients settle.

Embedded — 60 hrs/mo · $2,490

Three or more lanes, effectively a part-time operations hire, with quarterly process reviews.

Overflow — $52/hr

No commitment, billed in fifteen-minute blocks, for teams with a spiky month rather than a standing need.

A week at Northquill

The Rhythm

01

Monday

Fifteen minutes on what matters this week and what you want protected from.

02

Every Morning

Inbox and chat triaged before your first meeting; anything needing you is flagged, not forwarded.

03

Midweek

The recurring checklists run — renewals, reconciliations, follow-ups, the chase list.

04

Friday

One page: what moved, what is blocked, what needs a decision. In your inbox by 9am.

Straight answers

What We Will Not Do

Pretend To Be You

We sign our own name. Clients who ask for ghost-written personal messages from a founder's account are politely declined.

Take Bookkeeping

We will chase an invoice and file a receipt. Reconciling your books is a bookkeeper's job and we will tell you so.

Work Without Documentation

If a task cannot be written down, it usually means it has not been decided yet. We will help you decide it first.

Who this fits

Founders, Operators And Small Teams

Software and online businesses

Support inboxes, onboarding sequences, renewal chases and the reporting nobody has time to pull.

Professional firms

Diary management across partners, client paperwork, and the follow-up that turns a proposal into a signature.

Product and supply businesses

Supplier chasing, order exceptions, returns and a weekly stock and margin sheet.

From the people we support

In Their Words

We went from three founders answering support email at midnight to one assistant who closes ninety percent of it before we log on. The other ten percent arrives already summarized.
Ari VanceCo-founder · Software company
What sold me was the documentation. Every process we handed over came back written down. That work outlives whoever is doing it.
Rebecca IlungaOperations lead · Equipment supplier
I expected to lose a week teaching someone our systems. The onboarding checklist meant it took two afternoons and a shared document.

Before You Book

Is my assistant based in the US?

Yes. Everyone at Northquill works from the US, mostly Mountain and Central time. That is why our hours overlap yours, and it is also why we are not the cheapest option.

Do I get the same person every week?

Yes, plus a named backup who runs the same checklists. You meet both during onboarding, so the backup is never a stranger.

What if I need to stop?

Month to month, thirty days' notice, and you keep every checklist and document we wrote. There is no exit fee and no clawback.

Which tools do you work in?

Yours. We work inside your email, calendar, help desk, project tool and invoicing software. We do not resell software and we do not require you to move.

How do you handle passwords?

Through a password manager you own and invite us to. We never hold a copy, and you can revoke access yourself at any time.

Can you cover evenings or weekends?

Not as standard. Our hours are Monday to Friday, 7am to 4pm Mountain. If you need genuine round-the-clock cover, a shift-based provider will serve you better and we will say so on the call.

Still deciding?

Start With One Lane

Fifteen hours a month, one lane, month to month. Small enough to try, big enough to notice.
