Save your details once
Business name, contact details and service area at the top of the file, ready for every job.
Number, date and terms
The next invoice number, today's date and “due on completion” — or a due date for fleet accounts.
Record the vehicle and its condition
Year, make, model and color, then the chips, scratches and stains you saw at the walk-around.
Add the package and the add-ons
The package with the vehicle size, then each add-on on its own line.
Add surcharges and total it
A condition surcharge or mobile fee if they apply, tax where your state charges it, and the balance due.
Hand it over with aftercare
Send it as you hand back the keys, with aftercare notes and when to book the next visit.
How detailers get paid faster
Walk around the car with the customer first. Note the existing chips and scratches on the invoice before you start, and agree any condition surcharge then — not after three hours on the pet hair.
Take a deposit on coatings and paint correction. For long, expensive jobs, a deposit at booking protects your day. Show it on the invoice as “Deposit received”.
Offer a maintenance plan on the invoice. The moment a customer sees the finished car is the moment to book the next wash. A line in the aftercare note turns one detail into a regular.
Tax depends on the state. In the US, some states charge sales tax on car washing and detailing, others don't, and products you sell separately (a bottle of spray, a coating kit) can be taxed differently from the service. Check your state's revenue department.
One invoice per car for fleets — or one line per car with the plate on it — makes fleet and dealership invoices easy to approve.
Outside the US. The invoice itself has rules: in Australia a GST-registered business issues a tax invoice showing its ABN, in New Zealand a GST-registered business shows its GST number, and in the UK and EU a VAT-registered business shows its VAT number and the VAT charged. Confirm the details with your accountant.

Because a customer who finds a chip next week may blame the detail. Recording existing scratches, chips, dents and stains at the walk-around — ideally with photos — settles it before it becomes an argument.
Agree a condition surcharge before you start, when you see the pet hair, sand or stains, and show it as its own line on the invoice. A surcharge that appears only on the invoice is the one that gets disputed.
