CONSULTING INVOICE TEMPLATE

Free consulting invoice template

A consulting invoice that bills hours by task, a day rate or a retainer against the engagement, puts expenses at cost on their own lines, and carries the PO number, the due date and the tax ID a business client's accounts team looks for. Free in Word and PDF, with every line explained.

Word and PDF · Free · No email, no sign-up

The short answer

A consulting invoice bills against the engagement: the statement of work it belongs to, the period covered, and the work as hours × rate by task, a day rate, a milestone or a monthly retainer — with expenses at cost on their own lines.

The lines that get a consulting invoice paid are the ones the client's accounts team looks for: their purchase order number, your business name and tax ID exactly as on your W-9, the due date (net 30 is the norm), and a description a manager can approve without asking you what you did.

Around them go your business details, the client contact, an invoice number and the dates, tax where it applies — rarely on consulting in the US — and the balance due.

What goes on a consulting invoice

Every line on the template, in order, and what to write on it.

The lines of a consulting invoice, top to bottom
The lineWhat to put there
Business name, contact and tax IDYour legal business name, phone, email and address exactly as on your W-9, and your EIN. A business client's accounts team matches the invoice to the W-9; a mismatch is the commonest reason a consulting invoice stalls.
Invoice number, dates and PO numberA number that never repeats, the invoice date, the due date (net 30 is the norm), and the client's purchase order number if they issued one — without it, many companies can't pay you at all.
Bill to and the engagementThe company, with the accounts-payable contact or email, then the engagement: its name, the statement of work it belongs to, the period covered and your day-to-day contact.
Hours by task, or the day rateOne line per task or deliverable with the dates, hours × rate or days × day rate, and what was delivered — written so a manager who wasn't in the room can approve it.
Retainer or milestoneA monthly retainer with what it covers and the hours included, or a milestone at its share of the project fee, worded as the statement of work words it.
Expenses at costTravel, software, materials — each on its own line at cost, with receipts attached. Say any markup on the estimate, never for the first time on the invoice.
Tax, total and balance dueSubtotal, sales tax where your state charges it on consulting (most don't; a few tax some services), and the balance due in bold.
How to pay and bank detailsNet 30 or your due date, and how to pay — ACH details save the most time.

STEP BY STEP

How to fill out a consulting invoice

On the first business day of the month, from your time log and the statement of work.

01

Put your legal name and EIN at the top

Business name, contact details and EIN exactly as on your W-9, with “W-9 on file”. Save the file once with these filled in so every invoice matches the client's records.

02

Number it, set the due date, add the PO

The next number in your series, today's date, the due date, and the client's PO number.

03

Name the client and the engagement

The company with its accounts-payable contact, the engagement name, the statement of work it belongs to, the period and your client contact.

04

Bill the work by task

One line per task or deliverable with dates, hours × rate or days × day rate, or the retainer or milestone as the statement of work words it.

05

Add expenses at cost and total it

Travel, software and materials on their own lines with receipts, tax where your state charges it, and the balance due in bold.

06

Send it to accounts payable, PO in the subject

Email it as a PDF to the AP address with your contact copied, the PO and invoice numbers in the subject line, on the same day every month.

How consultants get paid faster

Get the PO before you start. Most companies above a certain size can't pay an invoice without a purchase order, and the PO takes a week to raise. Ask for it when the engagement starts, and put the number on every invoice and in the subject line of the email.

Invoice on the same day every month, to accounts payable. The client contact who loves your work isn't the one who pays you. Send the PDF to the AP address with your contact copied; the invoice that lands in the right inbox on the first gets into that month's payment run.

Write each line for the person who approves it. “Analysis and recommendations report — competitive pricing analysis, model and written report, delivered Sep 26” gets approved by a finance manager who never met you. “Consulting, 18 hours” gets a question.

Match the W-9. In the US, a business client that pays you $2,000 or more in a year (the threshold for payments from 2026, up from $600; indexed from 2027) will ask for your W-9 and send you a Form 1099-NEC in January — put your business name and EIN on every invoice so their bookkeeper never has to chase you for it. The name and EIN on the invoice must match the W-9 you gave them, or the invoice sits in a vendor-setup queue.

Offer ACH and say so. Bank details on the invoice cut a week off payment — companies pay vendors by ACH on a schedule and a card payment or check has to be requested separately. Put the details in the notes and reference the invoice number.

Use a deposit or a retainer for new clients. A deposit before phase one, or a monthly retainer paid in advance, is normal for consulting and removes the collections problem entirely for the client who doesn't yet have a track record with you.

Tax depends on the state. In the US most states don't charge sales tax on consulting, but a few tax some professional services and several tax digital products or software you resell. Check your state's revenue department or your accountant before you add a tax line.

Outside the US. The invoice itself has rules: in Australia a GST-registered business issues a tax invoice showing its ABN, in New Zealand a GST-registered business shows its GST number, and in the UK and EU a VAT-registered business shows its VAT number and the VAT charged. Confirm the details with your accountant.

Send it from Zarla and get paid online

A Word template is a fine way to start. The catch is everything after you hit send: chasing the payment, remembering who's paid, and typing the same customer and the same line items again next month.

If you build your consulting website with Zarla, the invoice tool is in the same dashboard. Pick the customer, add the job's lines, and send it. On a paid plan, with your Stripe account connected, the invoice carries a pay-now button: your customer pays online by card, and the invoice marks itself paid when the money arrives. Customers you've invoiced are saved, so next time is two taps.

Consulting invoices: common questions

What should a consulting invoice include?

Your legal business name, contact details and EIN as on your W-9; an invoice number, the invoice date, the due date, and the client's PO number; the client with its accounts-payable contact; the engagement, the statement of work it belongs to and the period; the work by task — hours × rate, a day rate, a retainer or a milestone; expenses at cost; tax where it applies; the balance due; and how to pay, with bank details.

When is a consulting invoice due?

Net 30 — 30 days from the invoice date — is the norm for business clients in the US; net 15 for small companies and individuals, and payment in advance for a retainer. Larger companies will ask for net 45 or 60. Write the due date on the invoice as a date, not only as “net 30”, so the accounts team can see it at a glance.

Should I bill hourly, by the day or by the project?

Bill the way the statement of work is written. Hourly suits open-ended advisory work; a day rate suits workshops and on-site days; a fixed project fee billed by milestone suits defined deliverables; a monthly retainer suits ongoing access. Whichever it is, each line should say what was delivered and when.

How do I invoice expenses?

At cost, on their own lines, with the receipts attached — travel, software, materials. If you add a handling markup, say so on the estimate; never let it appear for the first time on the invoice.

Do I need a W-9 and will I get a 1099?

In the US a business client paying you $2,000 or more in a year — the threshold for payments from 2026, up from the old $600, and indexed from 2027 — will ask for your W-9 before the first payment and send a Form 1099-NEC in January reporting what they paid. Give them the W-9 when the engagement starts and make sure the name and EIN on your invoices match it exactly.

What if the client needs a PO number?

Ask for it before the work starts — most companies raise it in a few days — and put it on the invoice and in the email subject. If the engagement outgrows the PO's value, ask for an amended PO before the invoice that exceeds it; the accounts team can't pay past the PO's limit.

Is this consulting invoice template free?

Yes. The consulting invoice template on this page downloads free as a Word document and a PDF — no email address, no sign-up. Edit it in Word or any app that opens Word documents, or print the PDF and fill it in by hand.

Can clients pay a consulting invoice online?

Not from a Word file — your customer still has to pay you some other way. To take the payment on the invoice itself, send it from invoicing software. If your consulting website is on Zarla, the invoice tool is in the same dashboard: on a paid plan, with Stripe connected, each invoice carries a pay-now button and marks itself paid when the customer pays by card.

Send invoices from your own consulting website

Add your town and your business name, and Zarla builds the site from that one line — with invoicing in the same dashboard.
