The next invoice number, today's date, the due date and the service period — the month, or the visit dates.

Add the customer and the home

Who pays, the service address, the home's size and how often you clean it.

List each visit and each add-on

One line per visit with its date and type of clean, then add-ons on their own lines with the date they were done.

Apply the recurring discount and total it

Show any recurring discount, add tax where your state charges it, and put the balance due in bold.

Send it with your policies

Payment terms plus your cancellation or lockout fee, sent the same day for one-time cleans or on the same date each month for recurring ones.

How cleaning businesses get paid faster

Bill recurring customers on the same day every month. A predictable invoice gets paid like a utility bill. Better still, take a card on file and charge it after each visit — the fewer invoices a customer has to act on, the fewer go late.

Put add-ons and policies on the invoice, every time. An oven clean that appears with a date is paid without a question; a lump sum that went up is not. The same goes for the cancellation fee — the invoice is where customers learn it's real.

Price it before you bill it. If you're still setting your rates, how much to charge for house cleaning has the 2026 US rates per square foot, by bedrooms, and for every add-on on this invoice.

Tax depends on the state. In the US, some states charge sales tax on cleaning services and many don't, and some treat office cleaning differently from homes. Check your state's revenue department before you add a tax line.

Tips go on their own line. If a customer adds a tip, record it separately from the service so it's clear what goes to the cleaner.

Outside the US. The invoice itself has rules: in Australia a GST-registered business issues a tax invoice showing its ABN, in New Zealand a GST-registered business shows its GST number, and in the UK and EU a VAT-registered business shows its VAT number and the VAT charged. Confirm the details with your accountant.

What should a cleaning invoice include?

How do I invoice recurring cleaning clients?

Once a month, on the same date: list each visit with its date as its own line (or the month with the dates in the description), show the recurring discount, and send it with a short due date. Charging a card on file after each visit works even better.

Should a cleaning invoice show the price per visit or per hour?

Per visit for homes you know — customers want a set price and it rewards you for getting faster. Hourly suits a first deep clean or a job you haven't seen; if you bill hourly, show the hours and the number of cleaners.

Can I charge a cancellation fee on a cleaning invoice?

Yes, if the customer agreed to it in advance — put the policy on your website, your booking confirmation and every invoice. When you charge it, give it its own line with the date of the cancelled visit.

Is cleaning taxable?

In the US it depends on your state: some tax cleaning services, many don't, and some treat commercial cleaning differently from homes. Check your state's revenue department, and ask your accountant if you clean in more than one state.

Should a cleaning invoice have a line for tips?
