The short answer

An HVAC invoice names the system — the make, model, size and efficiency rating of what you installed or repaired — and keeps the diagnostic, the labor and the equipment on separate lines, with refrigerant by the pound, parts with their model numbers, and the permit and inspection where the job needed one.

Your license number and your EPA Section 608 certification go at the top — the customer, the inspector and the manufacturer all look for them — and the maintenance-plan offer goes at the bottom, where the customer who just paid for a replacement is most likely to say yes.

Around them go the usual lines: the customer and the job address, an invoice number and due date, any deposit on an installation, tax where it applies and the balance due.

What goes on an HVAC invoice

Every line on the template, in order, and what to write on it.

The lines of an HVAC invoice, top to bottom
The lineWhat to put there
Business name, contact, license and EPA certificationYour trading name, phone, email and address, your HVAC contractor license number — most US states license the trade and many require the number on invoices — and that your technicians hold EPA Section 608 certification, which federal law requires for anyone handling refrigerant.
Invoice number, dates and permit numberA number that never repeats, the date, the due date — 14 days is common for homeowners — and the mechanical permit number with the inspection result when the job needed one.
Bill to and job addressWho pays and where the system is. Property managers and landlords pay for work at other addresses, so list both.
Diagnostic or service callThe fee for coming out and finding the fault, on its own line with what you found — shown as waived if you waive it when the customer goes ahead with the repair or replacement.
Labor by taskA flat price for the job or hours × your rate, with the task named and after-hours work noted. On an installation, list what the labor covered — recovery, swap, flush, vacuum, charge, test.
EquipmentThe condenser, furnace, heat pump or air handler on its own line with make, model, size and efficiency rating. This line is what the manufacturer asks for in year seven.
Parts, refrigerant and materialsEach part with its model number, refrigerant by the pound with the type named, and the pad, whip, disconnect and line set as a materials line.
Permit and inspectionThe permit fee and number where a permit was pulled, with the inspection result. The maintenance plan isn't a line on the template — offer it in the notes, as the example does, and add it as a line only when the customer joins.
Tax, deposit, total and balance dueSubtotal, sales tax where your state charges it on equipment, parts or labor, any deposit already paid on an installation, and the balance due in bold.
How to payCard, check or bank transfer, and the date it's due — 14 days is common for homeowners.

STEP BY STEP

How to fill out an HVAC invoice

Five minutes after the system is running, before you leave the driveway.

01

Put your details, license and EPA line at the top

Business name, phone, email, address, contractor license number and the EPA 608 line. Save the file once with these filled in so you never type them again.

02

Number it, date it, add the permit

The next number in your series, today's date, a due date, and the mechanical permit number with the inspection result on an installation.

03

Fill in who pays and the job

The customer and billing address, the job address if different, what you did, the date and the technician, and that the old equipment was recovered and recycled.

04

List the diagnostic, labor, equipment and parts

Each on its own line: the service call with what you found, labor by task, the unit with make, model, size and rating, parts by model number, refrigerant by the pound, materials.

05

Add the permit, tax and the deposit

The permit fee, sales tax on the lines your state taxes, the deposit taken on the installation, and the balance due in bold.

06

Write how to pay and send it the same day

How to pay and the due date, with the maintenance plan offered in the notes. Send it before you leave the driveway.

How HVAC businesses get paid faster

Invoice while the system is running. The house is cool again, the customer is relieved; that's when the invoice is paid without a question. Send it from the truck or hand over a printed copy and take the payment there.

Take a deposit on every installation. A condenser, a coil and a day's labor are bought and booked before the customer pays a cent. A deposit of the equipment cost is normal — show it as “deposit received” on the final invoice.

Name the equipment, every time. Make, model, size and efficiency rating on the line. It's what the manufacturer asks for in year seven, and the customer who can read their own system off the invoice calls you for the tune-up.

Sell the maintenance plan on the invoice. One line, or one note — two tune-ups a year, priority scheduling, a repair discount. The customer who just paid for a replacement is the most likely to say yes, and the plan is what keeps the truck busy in April and October.

Refrigerant, licensing and permits. In the US anyone who handles refrigerant must hold EPA Section 608 certification, most states license HVAC contractors and require the number on contracts and invoices, and a replacement or new system needs a mechanical permit and inspection in most cities — the invoice that shows the license, the EPA line and the passed inspection is the one an insurer, a home inspector and a buyer trust. Check your state licensing board and your city's permit office.

Know your tax rules. In the US, sales tax on HVAC work depends on your state — whether it falls on the equipment, the parts, the labor, some or none, and whether a repair is treated differently from a replacement. Keeping equipment, parts and labor on separate lines makes either answer easy to apply; check your state's revenue department or your accountant.

Outside the US. The invoice itself has rules: in Australia a GST-registered business issues a tax invoice showing its ABN, in New Zealand a GST-registered business shows its GST number, and in the UK and EU a VAT-registered business shows its VAT number and the VAT charged. Confirm the details with your accountant.

Send it from Zarla and get paid online

A Word template is a fine way to start. The catch is everything after you hit send: chasing the payment, remembering who's paid, and typing the same customer and the same line items again next month.

If you build your HVAC website with Zarla, the invoice tool is in the same dashboard. Pick the customer, add the job's lines, and send it. On a paid plan, with your Stripe account connected, the invoice carries a pay-now button: your customer pays online by card, and the invoice marks itself paid when the money arrives. Customers you've invoiced are saved, so next time is two taps.

HVAC invoices: common questions

What should an HVAC invoice include?

Your business name, contact details, license number and EPA 608 line; the customer and job address; an invoice number, date, due date and the permit number with the inspection result; the diagnostic, labor by task, the equipment with make, model, size and rating, parts by model number, refrigerant by the pound, materials and the permit on their own lines; subtotal, sales tax where it applies, any deposit and the balance due; how to pay; and the maintenance-plan offer.

Should I separate equipment, parts and labor on an HVAC invoice?

Yes. The customer sees what the system cost versus the work, the unit can be identified from its line years later, and in the US it's how sales tax gets applied correctly — depending on your state, tax can fall on the equipment, the parts, the labor, some or none.

How do I invoice refrigerant?

By the pound, with the type named — R-410A, R-32, R-454B — on its own line at your per-pound rate, and the recovery of the old charge noted in the job block. Customers who see seven pounds at a stated rate accept the line; a lump “refrigerant” charge gets questioned, and the EPA 608 line at the top of the invoice explains why only a certified technician can do it.

Do I need a permit for an AC replacement, and should it be on the invoice?

In most US cities and counties, yes — a mechanical permit and an inspection for a replacement or a new system, and often for a furnace swap. Put the permit fee and number on the invoice and the inspection result in the details; it's the customer's proof the work was done to code when the house is sold. Check your city's permit office.

How should I invoice a service call that turned into a replacement?

Keep the diagnostic on its own line with what you found, then the replacement as labor, equipment, parts and materials on theirs. If you credit the diagnostic against the replacement, show it and a matching “waived” line so the customer sees the value.

Should I take a deposit on an HVAC installation, and how do I show it?

Yes — the condenser, the coil and a day's labor are bought and booked before you earn a cent, so a deposit of about the equipment cost is normal. On the final invoice show the full job, then “Deposit received” under the total with the amount, and the balance due in bold.

Is this HVAC invoice template free?

Yes. The HVAC invoice template on this page downloads free as a Word document and a PDF — no email address, no sign-up. Edit it in Word or any app that opens Word documents, or print the PDF and fill it in by hand.

Can customers pay an HVAC invoice online?

Not from a Word file — your customer still has to pay you some other way. To take the payment on the invoice itself, send it from invoicing software. If your HVAC website is on Zarla, the invoice tool is in the same dashboard: on a paid plan, with Stripe connected, each invoice carries a pay-now button and marks itself paid when the customer pays by card.

Send invoices from your own HVAC website

Add your town and your business name, and Zarla builds the site from that one line — with invoicing in the same dashboard.
