LOCKSMITH INVOICE TEMPLATE

Free locksmith invoice template

A locksmith invoice that bills the service call by time of day, the unlock, each cylinder rekeyed and each lock installed, keys cut by the key, and parts by grade and finish — with the property, the time on site and the ID checked recorded. Free in Word and PDF, with every line explained.

Word and PDF · Free · No email, no sign-up

The short answer

A locksmith invoice bills the service call by the time of day, then the work by the lock: the unlock, each cylinder rekeyed, each lock installed, each key cut, and any part by name, grade and finish — so a customer who was quoted a price on the phone sees that price on the paper.

Around it go your business name and license number where your state licenses locksmiths, the customer and the property, an invoice number, the date and the time you arrived and finished — and the ID you checked before you opened the door.

Finish with how to pay — locksmith work is paid on completion — and a note on the keys: how many, which doors they open, and that the old ones no longer do.

What goes on a locksmith invoice

Every line on the template, in order, and what to write on it.

The lines of a locksmith invoice, top to bottom
The lineWhat to put there
Business name, contact and license numberYour trading name, phone, email and address, and your locksmith license number where your state or city licenses the trade — customers who've read about locksmith scams look for it first.
Invoice number, dates and time on siteA number that never repeats, the date, the due date (on completion), and the time you arrived and finished — the line that settles any question about an after-hours rate.
Bill to and the propertyThe customer and the property you worked on, when they differ — a tenant's apartment billed to the landlord, a storefront billed to the company.
ID checkedOne line in the job block: what you checked before you opened the door — a driver's license matching the address, a lease, a vehicle registration. It protects the customer and you.
Service call by time of dayYour flat fee for coming out, at the daytime, after-hours or holiday rate — the number you quoted on the phone, on the paper.
The work, by the lockThe unlock as a line, each cylinder rekeyed at a per-cylinder rate, each lock installed at a per-lock labor rate, each key cut per key — so the customer can count the lines against the doors.
Parts by grade and finishEach lock or cylinder by type, grade and finish — “Grade 2 single-cylinder deadbolt, satin nickel” — or by model for a smart lock. Parts and keys are taxable goods in most states.
Tax, total and how to paySales tax on parts and keys, and on labor where your state taxes it, the total in bold, and how to pay.
KeysHow many keys you handed over, which doors they open, and that the old keys no longer work — the note the customer reads a month later.

STEP BY STEP

How to fill out a locksmith invoice

Three minutes on the doorstep, before the card reader comes out.

01

Put your details and license number at the top

Business name, phone, email, address and your license number where your state or city requires one. Save the file once with these filled in.

02

Number it, date it, note the time on site

The next number in your series, today's date, due on completion, and the time you arrived and finished.

03

Name the job, the property and the ID checked

What you did in one line, the property, the ID you checked before opening, and which locks — keyed alike or apart.

04

Bill the service call, then the work by the lock

The call-out at the time-of-day rate you quoted, the unlock, each cylinder rekeyed, each lock installed, each key cut, and each part by grade and finish.

05

Add tax and total it

Sales tax on parts and keys, and on labor where your state taxes it, then the total in bold.

06

Write the keys note and take payment

How many keys, which doors, old keys dead; then take the card on the doorstep — locksmith work is paid on completion, and the customer who's just got back inside is glad to.

How locksmiths get paid faster

Quote the whole price on the phone, then invoice that price. The service call at the time-of-day rate, the unlock, and the per-cylinder rekey rate — said before you roll, written on the invoice after. The customer who sees the phone quote on the paper pays on the spot; the customer who sees a bigger number argues on the doorstep.

Bill by the lock, not by the job. “Rekey, 3 cylinders × $25” is a line a customer can check against their doors. “Rekey house, $75” is a line they wonder about. The same goes for keys: per key, with the count.

Write down the ID you checked. Most locksmiths check a driver's license, a lease or a registration before opening a home or a car, and some states' licensing rules require it. Recording it on the invoice shows the customer you did, and protects you if anyone asks later.

Collect on completion. A card reader on your phone and the invoice in hand while the customer is still thanking you. How much a locksmith charges has the US rates behind every line here.

Licensing. In the US there's no federal locksmith license; the trade press's 2024 survey counted a dozen states that license locksmiths — California, Texas, Illinois, New Jersey, North Carolina and Virginia among them — plus Nevada's county permit, and cities such as New York City and Nassau County license where their states don't. California licenses the company and registers every employee after a background check. Where you're licensed, the number goes on the invoice. Check your state's licensing board and your city.

Tax depends on the state. In the US locks, cylinders and keys are taxable goods almost everywhere, and a number of states tax installation and repair labor too — Texas and Connecticut among them — so keep parts, keys and labor on separate lines and check your state's revenue department or your accountant.

Outside the US. The invoice itself has rules: in Australia a GST-registered business issues a tax invoice showing its ABN, in New Zealand a GST-registered business shows its GST number, and in the UK and EU a VAT-registered business shows its VAT number and the VAT charged. Confirm the details with your accountant.

Send it from Zarla and get paid online

A Word template is a fine way to start. The catch is everything after you hit send: chasing the payment, remembering who's paid, and typing the same customer and the same line items again next month.

If you build your locksmith website with Zarla, the invoice tool is in the same dashboard. Pick the customer, add the job's lines, and send it. On a paid plan, with your Stripe account connected, the invoice carries a pay-now button: your customer pays online by card, and the invoice marks itself paid when the money arrives. Customers you've invoiced are saved, so next time is two taps.

Locksmith invoices: common questions

What should a locksmith invoice include?

Your business name, contact details and license number where your state or city licenses locksmiths; the customer and the property; an invoice number, the date, the due date and the time on site; the job in one line, which locks, and the ID you checked; the service call at the time-of-day rate; the unlock, each cylinder rekeyed, each lock installed and each key cut on their own lines; each part by grade and finish; tax; the total; how to pay; and a note on the keys.

Should a locksmith charge a service call fee?

Almost every locksmith does — a flat fee for coming out, higher after hours and on holidays — and bills the work on top. Say the fee and the rate for the job on the phone, then show both on the invoice as separate lines. A single lump sum is what customers who've read about locksmith scams are afraid of.

Why record the ID I checked on the invoice?

Because opening a door for the wrong person is the risk in this trade. Most locksmiths check a driver's license, a lease or a vehicle registration before unlocking a home or a car, and some state licensing rules require it. One line on the invoice — “ID checked: driver's license matching the address” — shows the customer you did and protects you later.

How do I invoice a rekey?

Per cylinder, with the count and which doors: “Rekey — 3 cylinders to one key: front deadbolt, front knob, back deadbolt”. Keys cut go on their own line per key. If a lock was too damaged to rekey, the replacement is a part line by grade and finish plus an install line for the labor.

Do I charge sales tax on locksmith work?

In the US the locks, cylinders and keys you supply are taxable goods almost everywhere; whether the labor is taxed depends on your state — a number tax installation and repair labor, Texas and Connecticut among them. Keep parts, keys and labor on separate lines and check your state's revenue department or your accountant. Outside the US, a GST- or VAT-registered business shows the tax and its registration number on the invoice.

Do I need a locksmith license?

In the US it's decided state by state — there's no federal license. The trade press counted a dozen licensing states in 2024, including California, Texas, Illinois, New Jersey, North Carolina and Virginia, plus Nevada's county permit, and some cities license where their states don't. Where you're licensed, the number belongs on every invoice. Check your state's licensing board and your city hall.

Is this locksmith invoice template free?

Yes. The locksmith invoice template on this page downloads free as a Word document and a PDF — no email address, no sign-up. Edit it in Word or any app that opens Word documents, or print the PDF and fill it in by hand.

Can customers pay a locksmith invoice online?

Not from a Word file — your customer still has to pay you some other way. To take the payment on the invoice itself, send it from invoicing software. If your locksmith website is on Zarla, the invoice tool is in the same dashboard: on a paid plan, with Stripe connected, each invoice carries a pay-now button and marks itself paid when the customer pays by card.

Send invoices from your own locksmith website

Add your town and your business name, and Zarla builds the site from that one line — with invoicing in the same dashboard.
