PET SITTING INVOICE TEMPLATE
Free pet sitting invoice template
A pet sitting invoice with one line per visit, walk or overnight — dated — the pets named, add-ons like medication and extra walks on their own lines, and the holiday rate shown. Free in Word and PDF, with every line explained.

The short answer
A pet sitting invoice lists each visit on its own line with its date — drop-in, walk, overnight, daycare day — and names the pets, so the owner can match every line to the day they were away.
Add-ons go on their own lines too: medication, an extra walk, a holiday rate, a second home visit, the key pickup. A single “pet sitting, 7 days” line is the one that gets a question.
Around it go your business details, the owner and the home address, an invoice number and a due date — pet sitters usually bill at the end of the booking, or the start for longer ones — and how to pay.

LINE BY LINE
What goes on a pet sitting invoice
Every line on the template, in order, and what to write on it.
| The line | What to put there |
|---|---|
| Business name, contact and credentials | Your trading name, phone, email and address, with the line that you're insured and bonded and any certification — owners handing you their house keys read it. |
| Invoice number, date, due date and booking dates | A number that never repeats, the date you send it, when it's due, and the dates the booking covered. |
| Bill to and the home | The owner and the address you visited — the home is where the pets live, so it's the service address too. |
| The pets | Names, species and ages, and what the booking was: drop-ins, walks, overnights or daycare. An invoice that names Biscuit gets paid with a thank-you. |
| One line per visit type, dated | Drop-in visits × the count, walks × the count, each overnight with its date — with what a visit includes in the detail, so the price explains itself. |
| Add-ons | Medication, an extra walk, a bath, supplies you bought — one line each, with the per-day or per-visit rate. |
| Holiday rate | The surcharge for holiday dates on its own line, with the dates, so it's never a surprise inside the visit price. |
| Tax, total and balance due | Subtotal, sales tax where your state charges it on pet care, any deposit already paid, and the balance due. |
| How to pay | Card, bank transfer or check, and when it's due — 7 days is common. |
STEP BY STEP
How to fill out a pet sitting invoice
Write it up the evening the owner gets home, while the booking is fresh.
Save your details and credentials once
Business name, contact details, the insured-and-bonded line and your certifications at the top, saved in the file so every invoice starts ready.
Number and date it
The next number in your series, today's date, a due date — 7 days is common — and the booking dates.
Name the pets and the booking
The owner and the home, the pets by name, and whether it was drop-ins, walks, overnights or daycare.
List each visit type with its count and dates
Drop-ins × count, walks × count, each overnight with its date, then medication, extra walks and holiday surcharges on their own lines.
Total it
Tax where your state charges it, minus any deposit, with the balance due in bold.
Send it with the last photo
Email or text the invoice with a photo from the final visit and how to pay underneath. Owners pay a sitter who sends photos the same day.
How pet sitters get paid faster
Take a deposit on longer bookings. For a week or more, or any holiday booking, a deposit of a night or two holds the dates. Show it on the final invoice as “deposit received”.
Send a photo with every update — and the last one with the invoice. Owners who've watched their dog on the couch every evening pay the invoice the evening they get home.
Price it before you bill it. If you're still setting your rates, dog sitting rates for 2026 has the US rates per visit, per walk and per night, and the holiday surcharge most sitters charge.
Show the holiday rate as its own line, every time. Thanksgiving week is where pet sitters make and lose money; the owner who's seen the holiday line on an ordinary invoice isn't surprised by it in November.
Keep a line for supplies. If you bought food, litter or a replacement leash, put it on its own line at cost with the receipt available — it's the line owners are happiest to pay and the one that gets forgotten.
Tax depends on the state. In the US a few states charge sales tax on pet sitting and dog walking, most don't, and grooming is often treated differently from sitting. Check your state's revenue department before you add a tax line.
Outside the US. The invoice itself has rules: in Australia a GST-registered business issues a tax invoice showing its ABN, in New Zealand a GST-registered business shows its GST number, and in the UK and EU a VAT-registered business shows its VAT number and the VAT charged. Confirm the details with your accountant.
Send it from Zarla and get paid online
A Word template is a fine way to start. The catch is everything after you hit send: chasing the payment, remembering who's paid, and typing the same customer and the same line items again next month.
If you build your pet sitting website with Zarla, the invoice tool is in the same dashboard. Pick the customer, add the job's lines, and send it. On a paid plan, with your Stripe account connected, the invoice carries a pay-now button: your customer pays online by card, and the invoice marks itself paid when the money arrives. Customers you've invoiced are saved, so next time is two taps.

Either side of it, two more free templates in Word and PDF: a price list template for the services you sell and a work order template for the crew.

Pet sitting invoices: common questions
Your business name, contact details and credentials; the owner and the home address; an invoice number, date, due date and the booking dates; the pets by name; one line per visit type with the count and dates; add-ons such as medication or extra walks; any holiday surcharge; tax where it applies; the balance due; and how to pay.
After, for a few days of drop-ins — send it the evening the owner is home. Before, with a deposit, for a week or more and for holiday dates; the final invoice then shows the deposit received and the balance. Recurring dog-walking clients are best billed on the same day each week or month.
One invoice a week or a month: one line per walk type with the count and the dates covered, add-ons on their own lines, sent on the same day every time so it gets paid like a utility bill. A card on file charged after each week works even better.
As its own line with the dates — “Holiday rate — Labor Day, Sep 7 visits” — at the surcharge per visit or per night, so it's never hidden inside the visit price. Most sitters add a flat amount per visit or per night on major holidays; put the rate on your website and your booking confirmation so the owner sees it before they book.
One line — insured and bonded, certificate on request — is worth having: owners are giving a near-stranger their house keys, and the line answers the question they're too polite to ask.
In the US it depends on your state: a few tax pet-care services, most don't, and grooming or boarding can be treated differently from sitting and walking. Check your state's revenue department, and ask your accountant if you work across a state line.
Yes. The pet sitting invoice template on this page downloads free as a Word document and a PDF — no email address, no sign-up. Edit it in Word or any app that opens Word documents, or print the PDF and fill it in by hand.
Not from a Word file — your customer still has to pay you some other way. To take the payment on the invoice itself, send it from invoicing software. If your pet sitting website is on Zarla, the invoice tool is in the same dashboard: on a paid plan, with Stripe connected, each invoice carries a pay-now button and marks itself paid when the customer pays by card.
Send invoices from your own pet sitting website
Add your town and your business name, and Zarla builds the site from that one line — with invoicing in the same dashboard.
