The short answer
A pressure washing estimate prices each surface on its own line, by the square foot — house siding, driveway and walks, deck or patio, gutters by the linear foot — with the method named: soft wash for siding and roofs, surface cleaner for concrete, low pressure on wood.
Naming the method is what separates you from the guy with a rented machine: it tells the customer their siding won't be blasted and their roof won't be walked on, and it's why your price can be higher than the other number they got.
Around it go your business details, the property in one line, the date you can come, what you need (water from their spigot, cars moved), what's excluded, and how to pay — usually on the day, by card.

LINE BY LINE
What goes on a pressure washing estimate
Every line on the template, in order, and what to write on it.
| The line | What to put there |
|---|---|
| Business name, contact and insurance | Your trading name, phone, email and address, and that you're insured — the thing a customer with vinyl siding and a wood deck wants to know first. |
| Estimate number, date and valid-until date | A number that never repeats, the date, and the date the price holds until — 30 days is common; the work is seasonal, so the date matters. |
| Prepared for and the property in one line | The customer and the address, then the property: stories, siding type and the surfaces you'll clean, with the hours and the days you can come. |
| Each surface, by the square foot, with the method | House wash, driveway and walks, deck or patio, fence — one line each, priced by the square foot, with the method named: soft wash, surface cleaner, low pressure. |
| Gutters and roof | Gutter brightening by the linear foot; roof washing as its own line or a separate estimate — and always soft wash, never pressure. |
| Protection and water | Plants pre-wet and rinsed, windows rinsed; where the water comes from (their spigot, or you bring it). |
| Tax and total | Sales tax where your state charges it on this work, and the estimated total — pressure washing rarely needs a deposit. |
| Included, exclusions and the weather | What's in, what isn't (roof, sealing, inside the gutters), what you need from the customer, and your weather policy. |
| How to pay | Payment on the day — card, cash or check — and the days you can come. |
STEP BY STEP
How to write a pressure washing estimate
From the walk-around — or the customer's photos — to an estimate they approve by text.
Measure each surface
Siding square footage from the house's footprint and stories, the driveway and deck by pacing or the satellite view, gutters by the linear foot. Note the siding type and the stains.
Put every surface on its own line
House wash, driveway, deck, gutters, fence — one line each, so the customer can take a surface off without the whole price changing.
Price by the square foot and name the method
Your rate per square foot per surface, with the method on the line: soft wash, surface cleaner, low pressure. The method is what sells it.
Add protection and the water source
Plants pre-wet and rinsed, windows rinsed, and whether you use the customer's spigot or bring water. Both answer questions before they're asked.
Add tax and the total
Sales tax where your state charges it on this work, and the estimated total. Most pressure washing jobs don't need a deposit — say so.
Write the exclusions, the weather policy and how to pay
Roof, sealing, inside the gutters — listed as not included. Cars moved, windows closed, rain reschedules. Then payment on the day, and send it by text.
How pressure washing estimates win the job
Name the method on every line. “Soft wash” on the siding line and “surface cleaner” on the driveway line tell the customer you won't strip their paint or etch their concrete. It's the whole difference between you and a rented machine.
Price by the surface, not the house. One line per surface lets the customer drop the deck this time and add it next spring — and lets you estimate from photos and a satellite view in ten minutes.
Offer the roof as a separate line. Roof washing is the most profitable surface and the one customers are most nervous about. A separate line, soft wash only, with a one-sentence explanation, sells itself more often than you'd think.
Say what you need and what happens in rain. Cars moved, windows closed, water from the spigot, a free reschedule in heavy rain — four lines that prevent the four most common day-of problems.
Wash water and the storm drain. In the US, wash water carrying soap or cleaning solution generally can't be sent to a storm drain — the federal Clean Water Act and most cities' stormwater rules forbid it — so say on the estimate how you contain or divert it; check your city's stormwater rules for the detail where you work.
Tax. In the US, whether sales tax applies to pressure washing depends on your state — many don't tax it, some tax cleaning services — so check your state's revenue department or your accountant before you add a line. Outside the US the rule is the other way around: in Australia and New Zealand a GST-registered business gives a consumer a price that includes GST, and in the UK and EU a VAT-registered business shows the VAT and quotes consumers a price with it included. Confirm the details with your accountant.
Send it from Zarla and get it accepted online
A Word estimate is a fine way to start. The slow part is everything after you send it: waiting for a reply, wondering whether they opened it, and retyping every line into the invoice when they say yes.
If you build your pressure washing website with Zarla, quotes are in the same dashboard. Build the quote from your own price book — one price, or up to three options side by side with the one you'd pick marked Recommended, and any line as a checkbox extra. Send it as one link, by email. Your customer picks an option, ticks any extras, types their name to accept, and gets a copy; Zarla drafts the invoice for exactly what they chose, with any deposit you asked for, and the job moves to Won. The quote template is already in your brand: your website's logo, colors and fonts, set once for every quote and invoice. On a paid plan, with your Stripe account connected, that invoice carries a pay-now button, so the deposit comes in as soon as you send it.

Pressure washing estimates: common questions
Your business, contact and insurance details; the customer, the address and the property in one line; an estimate number, the date and a valid-until date; each surface on its own line priced by the square foot with the method named; gutters by the linear foot; the roof as its own line or a separate estimate; plant protection and the water source; tax where it applies and the estimated total; what's excluded, what you need from the customer, your weather policy, and how to pay.
An estimate is your best calculation of what the job will cost, given what you can see today; the final price can move if the work turns out different. A quote (or a fixed price) is the price you will charge for the work described. A bid is a quote submitted against someone else's specification, usually in construction. Say which one your document is in its title.
By the square foot per surface, shown on the estimate: the customer sees a rate they can compare, you can estimate from photos and a satellite view, and adding or dropping a surface is arithmetic. Flat per-job pricing hides your rate and turns every change into a negotiation.
Usually, yes: siding square footage from the footprint and stories, the driveway and deck from the satellite view, gutters by the linear foot. Say on the estimate that the price assumes what the photos show, and confirm it with a walk-around when you arrive.
Thirty days is the common choice for a home-services estimate, and shorter when material prices move (roofing, lumber, copper). Print the date on the estimate: a customer who comes back after it can be re-quoted at today's prices without an argument, and one who accepts inside it knows the price holds.
Rarely — the job is a few hours, there are no materials to order, and payment on the day by card is normal. Ask for one only on large commercial jobs or when you have to rent a lift, and say so on the estimate.
Yes. The pressure washing estimate template on this page downloads free as a Word document and a PDF — no email address, no sign-up. Edit it in Word or any app that opens Word documents, or print the PDF and fill it in by hand.
Not from a Word file — the customer replies by email or phone, and you type the job into an invoice later. To get a yes in one tap, send it from quoting software. If your pressure washing website is on Zarla, the quote tool is in the same dashboard: your customer opens one link, picks an option, ticks any extras and types their name to accept, and Zarla drafts the invoice for what they chose — which, on a paid plan with Stripe connected, carries a pay-now button. Jobber, Housecall Pro, Wix and Squarespace send quotes customers accept online too.
